From 200 Monday emails to 30 minutes of approvals on Tuesday.

We build your team a digital colleague that handles routine email, reports, and pre-checks. Fixed price per phase, data processing agreement on day one, productive in 12 weeks. You keep the code, data, and control.

  • Fixed price instead of hourly risk. Audit 4,800 EUR, Pilot 14,000 EUR. What we wrote is what we build.
  • 12 weeks to live, not 12 months. Six clear steps, weekly demo session.
  • You are independent after 12 weeks. Code, prompts, blueprints are yours.

[ 03 ] Method

Four phases. Fixed price per phase.

You book a step, not the whole program. After each phase you decide: continue or stop, no follow-on costs.

[ Diagnostic ] How we find the right processes

Four data sources, before we build.

Before we ship the first agent, we find the right processes. With data, not gut feel. Four sources, parallel to the workshop, fill the Process Register.

Source 01

Calendar Mining

Every recurring meeting in the last 90 days is a process candidate.

Source 02

Slack Pattern Scan

Top 20 channels by volume. Search for can someone, status, blocking.

Source 03

Shadowing

90 min per function lead. One question: what are you doing for the third time this week?

Source 04

Tool Inventory

SaaS invoices over 50 EUR per month. Every tool has a process behind it.

[ 05 ] What you do not get

The usual vs. here.

Four axes, one outcome. Fixed price not day rate, code not PDF, handover not follow-on project.

Output
PDF with strategy recommendation.
Code in your IT's git.
Price
Day rate, open ended.
Fixed price per phase.
Stack
Vendor platform, lock-in.
Anthropic SDK, your infra.
Handover
Follow-on project at the consultant.
Runbook, training, on-call to IT.
Result
Recommendation waits for execution.
One workflow, productive on Monday.
// fits
  • 50 to 500 staff, own IT.
  • Concrete process with repetition.
  • GDPR requirement, EU data residency.
  • Sponsor with budget authority.
// does not fit
  • Chatbots on public websites.
  • AI strategy without code as output.
  • Generic copilot without process context.
  • Pilot without an approving sponsor.
Pre-decision

Should I build custom at all, or will a SaaS tool do?

Honest comparison: 10 axes, decision tree, quadrant. So you do not buy the wrong tool.

[ 05 ] Kraków

Why Kraków and what that means for your invoice.

Solo from Kraków is not a workaround. It is why the math works.

01

EU law, EU data, EU servers.

Poland is an EU member state. GDPR applies one-to-one. Your data protection officer ticks the country in two minutes.

02

Reverse-charge for German B2B customers.

You pay net, VAT is handled in Germany. Your tax advisor knows the procedure.

03

Lower payroll overhead = fixed price possible.

A German consultancy cannot build the same pilot for 14,000 EUR. Kraków is not a risk, it is the precondition.

[ 06 ] Risk answers

Four answers to the four questions every CEO asks first.

Fixed price, data protection, continuity, independence. Written, not promised.

FRAGE 1

What does it really cost?

Fixed price per phase. Written. What we wrote is what we build. Extra effort is on me, not you.

FRAGE 2

What about our data?

Data processing agreement with German template from day one. Servers in the EU. No data to OpenAI without your approval.

FRAGE 3

What if you get sick?

Code, prompts, access in your cloud from week one. Backup operator named. IT liability insurance 2M EUR.

FRAGE 4

Are we dependent after 12 weeks?

No. Handover docs and training. Monthly care is an option, not a requirement.

[ 07 ] Fit / No fit

Who this fits. And who it does not.

A clear line saves both sides time.

Fits

  • 20 to 200 employees
  • Concrete routine task with more than 8 hours per week of staff time
  • IT department or at least an IT lead
  • EU data residency required

Does not fit

  • Under 10 employees (get SaaS, not a custom build)
  • No concrete task in mind (book the audit)
  • Audit firm stamp required (I am solo, not KPMG)
  • Fixed price meaning 'send me a PDF' (fixed price = defined output)
[ 08 ] FAQ

Before you write.

Seven answers to the questions that come up before every first call anyway.

Q1
You are solo. What happens if you get sick?
Code, prompts, and access live in your cloud from week one. My backup operator is named in the contract. IT liability insurance of 2M EUR covers missed delivery. You are not dependent on a person, you are dependent on documented code.
Q2
Why Poland, is that GDPR-compliant?
Poland is an EU member state. GDPR applies one-to-one. Servers are in the EU, data processing agreement with German template from day one. Reverse-charge for German B2B customers, your tax advisor knows the procedure.
Q3
How secure is this with our data? Does anything go to OpenAI?
We use Anthropic Claude directly, not OpenAI. Data stays EU-resident. Training data is excluded. You approve every data flow in advance, or it does not happen.
Q4
What if the pilot does not work?
Before pilot start we record two numbers in writing: fixed price (14,000 EUR) and success criterion (for example 80 percent correctly pre-sorted emails after 10 weeks). If I miss the criterion in week 11, we build further at my cost or you do not pay the final installment. Plain and simple.
Q5
Are we in vendor lock-in afterwards?
No. Code, prompts, and blueprints are yours from week one. Handover docs and training at the end. Monthly care is an option, not a requirement. You can switch to someone else or in-house at any time.
Q6
Why not a German provider?
A German provider with the same operator skills bills around 50,000 EUR for the same pilot at 1,200 EUR per day. Kraków plus solo makes the fixed price of 14,000 EUR possible. If German base location matters more than fixed price, say so in the first call.
Q7
Why not just use Zapier, Make, n8n, or UiPath?
For standard workflows often the right call, and I will tell you so in the audit. SaaS tools lose when the workflow is company-specific (client confidentiality, your own data model, BaFin or GoBD), when data must stay in your cloud, or when vendor lock-in is a risk. An honest comparison sits at /build-vs-saas.
